From Meeting Notes to a Finished Report in 10 Minutes
Your first real work output with AI — a clean, formatted report from your own rough notes, using free tools only.
From Meeting Notes to a Finished Report in 10 Minutes
Read time: 10–12 minutes · Task: 10 minutes
This course is not about AI theory. It is about your work. By the end of today you will have turned rough notes into a finished, formatted report — a useful draft you can check against your notes.
What this course is and is not
It is: one short lesson and one real task every day, using the actual work you already have on your desk or in your phone.
It is not: coding, installing software, or a lecture about how AI works. You will never be asked to write a line of code in this course. Everything runs on free tools — ChatGPT (free tier) or Gemini (free tier) — on the phone or laptop you already own.
There are no income or job-placement promises here either. What we promise is simpler and honest: every day, you finish with something you actually made.
Opening ChatGPT or Gemini, in under a minute
- Open your browser and go to chatgpt.com or gemini.google.com.
- Sign up with your email or Google account — the free option. That is all you need. No card, no download required (though the apps work too).
- A typing box appears. That box is your workplace for the next ten days.
The only three ideas you need today
- Give the AI your real material. Paste your actual notes, not a vague description of them. AI is a worker, not a mind-reader — a worker with empty hands does nothing.
- Say exactly who the output is for. "For my Head of Service," "for parents," "for a customer" changes the words the AI chooses.
- Tell it the format you want. Headings? Bullet points? Length? If you don't say, it guesses — and its guesses are generic.
Everything else in this course is these three ideas, repeated with more skill.
The worked demo
Below is an illustrative meeting scenario, a reusable prompt and a sample result. It is not a documented real meeting.
The messy notes:
staff meeting 14 Aug — 9 people present. new resumption time 8am from Sept, Mrs Eze to circulate memo. borehole repair quoted 380k, wait for 2nd quote. Friday clean-up continues. Ada to follow up on training forms, 6 staff yet to submit. AOB: NEPA bill unpaid, threat of disconnection, Mr Bala handling.
The exact prompt used:
You are an experienced administrative officer. Below are my rough notes
from a staff meeting. Turn them into a clean report for my Head of
Department.
Use this format:
- A one-line heading with the meeting date
- "Attendees:" line
- "Matters arising" as short numbered points
- "Action points" as a list in this form: [task] — [owner name]
Keep it under 200 words. Do not invent anything that is not in the notes.
NOTES:
[paste your notes here]
What came back was a properly headed report with attendees listed, four numbered matters arising, and an action-point list naming Mrs Eze, Ada and Mr Bala against their tasks. Ten minutes of typing, done in one paste.
The same template, six different jobs
One template serves every role. The notes change; the structure does not.
- Civil servant: paste your meeting minutes → official report for the permanent secretary.
- Teacher: paste staff-briefing notes → a clean briefing summary for colleagues who were absent.
- SME owner: paste notes from a customer call → a summary of what was agreed, for your records and theirs.
- NGO officer: paste field-visit notes → an activity report for your programme officer.
- Banker: paste branch meeting notes → a formatted update for your team lead.
- Jobseeker: paste notes from a career fair → a summary of who you met, what they said, and your follow-ups.
On a phone and a limited data budget
Draft notes offline first. Connect when you are ready to paste. Start with plain text rather than large photos or PDFs; copy longer documents in labelled sections. Save useful prompts and outputs in your notes app. Free services may have usage limits or outages: if you hit a limit, save your work and return later. Internet access and data still cost money, even when the AI service is free. A paid subscription is not required for the exercises; features and availability can change.
Illustrative sample report — not an actual meeting record
Staff meeting — 14 August
Attendance: Nine people; names not recorded in the notes.
Matters arising: September resumption time will be 8 am. The borehole quotation is ₦380,000; a second quotation is pending. Friday clean-ups continue. Six staff have not submitted training forms. The electricity bill remains unpaid.
Actions: Circulate the resumption memo — Mrs Eze. Follow up on training forms — Ada. Follow up on the electricity bill — Mr Bala. Obtain a second borehole quotation — owner not recorded.
Check: The source does not identify all nine attendees or an owner for the quotation. Do not invent either. Remove identifying details before practising with workplace notes.
🎯 Task
Take notes from a real meeting, class, or customer conversation you attended — on your phone, in your notes app, or in a notebook. Then:
- Open ChatGPT or Gemini (free).
- Paste the template above with your own notes in the slot.
- Read the report it produces. Then try the follow-up prompts: "Make it shorter," "Make it more formal," "Add action points."
- Compare it with what you would have written by hand. Notice where it is right, and where it left something out — you will fix that instinct tomorrow.
📤 Output
One finished report from your own notes. Keep it — it is the first page of your Personal AI Playbook (Day 7). Save the template to your phone notes; you will use it for years.
Privacy note: paste notes you wrote yourself, without confidential details (salaries, patient or customer names, unpublished documents). Tomorrow we give you the full privacy card.
